How a custom Google Apps Script automation in Google Sheets helps two sibling freight companiesโImona Logistics and Avesto LLCโgenerate weekly driver settlement statements, calculate deductions, and attach receipt PDFs across 30+ drivers.
01: The Clients
Imona Logistics and Avesto LLC are two U.S.-based freight and trucking operations founded by brothers. Each company operates an active fleet of 15 professional drivers (30+ drivers combined) handling interstate freight movement.
At the end of each weekly pay period, dispatch management compiles itemized settlement statements for every driver detailing completed loads, gross revenue, fuel deductions, maintenance expenses, and expense receipts.
Following the successful deployment of the settlement automation at Imona Logistics, the identical system was configured and deployed for Avesto LLC, doubling the total operational time saved across the two businesses.
02: The Challenge
Every week, management had to manually compile individual PDF settlement statements for all 30+ drivers across both companies. Each statement required filtering trip rows, calculating deductions, attaching receipt images, and exporting individual documents.
03: The Solution
Flowbetta built a custom Google Apps Script automation integrated directly into the Google Sheets workflows of both Imona Logistics and Avesto LLC, eliminating manual copy-pasting and formatting steps.
A structured statement layout built into Google Sheets, organized with clear trip breakdowns, earnings totals, and expense summaries.
Select driver name and week range from dropdown menus to target specific driver records instantly.
The script automatically queries completed trips from the master sheet, computes net pay, and populates the settlement sheet.
Enables inserting receipt images directly alongside corresponding fuel or maintenance expense entries.
Generates formatted PDF settlement files and automatically saves them into organized Google Drive folders.
Generated PDF drive links are recorded in the master sheet for convenient reference and record-keeping.
04: The Results
7 hours/week saved at Imona Logistics + 7 hours/week saved at Avesto LLC (14h combined).
15 drivers at Imona Logistics and 15 drivers at Avesto LLC receiving weekly itemized statements.
Automated calculations prevent rate and deduction discrepancies across both fleets.
Identical Google Workspace workflow deployed across both sister trucking operations.
After Imona Logistics eliminated 7 hours of weekly manual statement work for its 15 drivers, the CEO recommended the identical solution to his brother's company, Avesto LLC. Avesto operates an equivalent fleet of 15 drivers, doubling the combined time savings to 14 hours per week (approx. 60 hours/month) across both operations.
